Privacy Policy
This Policy explains how REFORMA FIT LLC collects, uses, shares, and protects personal information when you visit, enroll, or participate in Re:forma.
Health-related information is sensitive. We ask for affirmative consent before collecting it for personalized coaching. You may decline, but some personalization may then be unavailable.
1. Information we collect
Contact and account data
Name, age confirmation, email, phone or messaging handle, country, timezone, login information, communication preferences, and support messages.
Program and wellness data
Goals, nutrition and meal logs, activity and training records, sleep, weight, body measurements, cycle information you choose to provide, injuries and limitations, medications or conditions you voluntarily disclose, photos, videos, coach notes, check-ins, and messages.
Payment and transaction data
Plan, amount, currency, payment status, dates, billing country, receipt identifiers, and limited payment-method details supplied by our processor. We do not receive or store full card numbers or security codes.
Device and usage data
IP address, browser and device details, language, approximate location, pages and features used, log-in and activity timestamps, diagnostics, cookies, and similar technologies.
2. How we use information
- Provide onboarding, coaching, personalization, platform access, and support.
- Process payments, send receipts, prevent fraud, and handle disputes.
- Protect safety, review service suitability, and enforce our Terms.
- Operate, secure, debug, and improve the service.
- Send service messages and, with any consent required by law, marketing communications.
- Comply with legal, tax, accounting, and regulatory obligations.
Where applicable, our legal bases include performing our contract, consent (especially for sensitive wellness data and optional marketing), legitimate interests in operating and securing the service, and legal obligations. You may withdraw consent prospectively at any time.
3. How we share information
We share only what is reasonably necessary with coaches and authorized staff; cloud hosting, storage, communications, analytics, customer support, scheduling, security, and payment providers; professional advisers; regulators or law enforcement when legally required; and a successor in a legitimate business transaction. We do not sell personal or sensitive wellness information and do not share it for cross-context behavioral advertising.
Payment processors handle card data under their own privacy terms. Telegram or another messaging service also processes data you choose to send through it; avoid using third-party messaging for information you do not want that provider to process.
4. International transfers
We are a U.S. company and work with a distributed online service team. Information may be processed in the United States and other countries whose laws differ from those where you live. Where required, we use contractual or other recognized transfer safeguards.
5. Retention
We keep active program records for delivery and normally retain core account, transaction, consent, and service evidence for up to seven years where needed for tax, legal, fraud, or dispute obligations. Detailed wellness logs and media are deleted or de-identified earlier when no longer necessary, normally within 24 months after the program ends unless you request earlier deletion or law requires retention. Backup deletion may take additional time.
6. Security
We use access controls, encryption in transit, role-based permissions, logging, backups, and vendor review appropriate to the information. No system is perfectly secure. If a security incident affects protected information, we will investigate and provide legally required notices.
7. Your choices and rights
Depending on where you live, you may request access, correction, deletion, restriction, portability, or objection; withdraw consent; opt out of marketing; or appeal a denied request. Email support@reforma.fit. We verify requests and normally respond within 30 days. We will not discriminate against you for exercising a privacy right.
8. Cookies and analytics
We use essential storage for security and functionality. If optional analytics or advertising technologies are introduced, we will provide the controls and consent required in your region. Browser controls can limit cookies but may affect functionality.
9. Children
The service is for adults 18 and older. We do not knowingly collect personal information from children. Contact us if you believe a child submitted information.
10. Health privacy scope
Re:forma is a consumer wellness service and does not claim that it or the platform is covered by HIPAA. Other privacy, consumer-protection, and health-data breach laws may still apply, and we handle wellness data as sensitive information.
11. Changes and contact
